    The cost

    The office runs on one clerk and three registers.

    Your office has one person who holds all of it. Which fee is pending, which concession was allowed, where last term attendance register sits. None of it is written down anywhere a second person can read.

    • The same student name goes into the admission register, the fee book and the class list. Three entries, three spellings.
    • A parent asks on WhatsApp for a duplicate receipt. Someone opens the receipt book from March and searches by hand.
    • The defaulter list is a spreadsheet rebuilt every month, and it is already stale by the time it is printed.
    • Report card season blocks two weeks. Marks come in on paper, get typed once for the card and again for the record.
    • Board exam data entry lands in one week, and the details you need are spread across four different files.

    How it runs

    Six to eight weeks, timed to the term break.

    The build takes six to eight weeks. The date it goes live is a different question. The academic calendar picks that date, not you and not us. Schools change systems between terms, so we work backwards from your term break and start early enough to land on it.

    1. Week 1 — Scoping in your office

      Two days sitting with the people who run the counter. We photograph your fee structure sheet, one receipt book page, one mark sheet and one attendance register. Those four documents shape the build.

    2. Weeks 2–5 — Build

      Admissions, then fees, then attendance, payroll and report cards. You get a login from week two and watch it fill up. Feedback goes in every week while the module is still warm.

    3. Weeks 4–7 — Data migration

      Students, classes, fee heads and outstanding balances move in. This is the step that slips. Clean Excel takes days. Handwritten registers take weeks, and one person from your office has to sit with us.

    4. Weeks 7–8 — Training and go-live

      Two sessions with the office staff, on their machines, on your real data. We switch over during the term break and stay on call through the first fee collection.

    Who should build this.

    Take this if

    • You run one school with roughly 300 to 3,000 students on rolls
    • Fees are collected in a receipt book or a spreadsheet, and the defaulter list is rebuilt by hand
    • You already pay for software that handles fees, and everything else still runs on paper
    • You have an office clerk who will own the system and will sit through the training
    • You want the student and fee data in a database you control, exportable to Excel any day you ask

    Skip this if

    • You run a coaching class or a test-prep centre. Your unit is a batch that reshuffles every quarter, with no admission year and no board filing. Buy a coaching-specific product instead.
    • You have under about 200 students. An off-the-shelf school ERP on a per-student annual subscription will cost you less for years. Buy one and keep the difference.
    • You run a group of ten or more branches. That needs a multi-tenant build with branch-level accounting and consolidated trust reporting, which we quote separately.
    • You want it live in the middle of a term. We decline these. Half a term of fee data sitting in two places creates a reconciliation mess that outlives the project.
    • Nobody at the school can own the migration. Without one person from your office for two weeks, the old registers never make it in and the system stays empty.

      Before you ask.

      What changes the price?

      Four things: how many campuses run under the trust, whether transport and hostel come in, whether fees are collected online through a payment gateway, and whether your data arrives as Excel or as handwritten registers. One campus, counter fee collection and clean Excel sit inside the standard price. Anything beyond that we quote before the build starts, never after.

      How long does it take, and when can we go live?

      Six to eight weeks of build. The go-live date belongs to your academic calendar, because schools switch systems between terms and never mid-term. Work backwards from that: to open a new session on the new system, scoping has to begin about three months before the term does. We will say plainly if your date is already too close.

      Can you move our existing student and fee data across, and what do you need from us?

      Yes, and it is the step that decides the schedule. Clean Excel of students, classes and fee heads loads in a few days. Handwritten admission and fee registers take two to three weeks and need one person from your office with us daily. We also want one page each of your fee structure, a receipt and a mark sheet.

      Do parents get an app?

      Not in this price. Parents get a mobile web login for dues, receipts and attendance that opens on any phone with no Play Store download and no password reset calls to your office. Fee reminders and receipt links go out over WhatsApp and SMS, where parents already read things. A native Android app is quoted separately.

      What happens after go-live, and who owns the code?

      You own the source code and the database outright, handed over at go-live. Anything we built that does not match the signed scope is fixed free for thirty days after go-live. Training is two sessions with the office staff on live data, plus a one-page guide that usually ends up taped beside the counter. Later changes are quoted, or covered on a monthly retainer.

      Do you invoice with GST?

      Yes. We are GST registered and every payment gets a proper tax invoice against our GSTIN, issued the same day the payment lands. Every price on this page is exclusive of 18% GST. Payment is by bank transfer or UPI against the invoice, billed in stages against the milestones in your agreement. Trusts that raise a purchase order first can send us their format.
